Refund Policy
Client Service Terms (Appointments, Fees, Cancellations & Refunds)
These terms apply to client bookings and complement the Terms of Use.

Booking & deposits

Appointments are confirmed when you receive written confirmation from us.

A deposit may be required to hold your appointment time; it will be applied to your final invoice.
Travel & safe‑handling

Travel fees may apply based on distance and parking/access conditions.

A safe‑handling fee may apply in rare cases where additional staff, time, or safety measures are necessary for the wellbeing of your pet and our team.
Cancellations & rescheduling (example language—customize as needed)

Reschedule ≥ 24 hours before your appointment: deposit fully applied to the new time.

Cancel ≥ 24 hours before: deposit refunded.

Within 24 hours: payment may be forfeited to cover reserved time and travel.
Refunds

If we must cancel (e.g., emergency, severe weather), you may choose a full refund of any deposit paid or apply it to a new date.
Aftercare coordination

We will review available options (private or communal cremation, paw print, fur clipping, urns/keepsakes) and coordinate according to your selection.
Estimates & invoices

We provide transparent estimates. Final invoices reflect the selected services plus applicable taxes/fees disclosed beforehand.
Communication

We send confirmations and reminders by email/text. Please keep your contact details current so we can reach you.
Client Records & Privacy (Veterinary)
Veterinary medical records are confidential. We share records only with you (the owner/authorized agent), our team providing care, aftercare partners you select, or as required by law. Upon request and authorization, we can provide copies of your pet’s records. We retain records for at least the period required by applicable law and professional rules. Veterinary records are not governed by HIPAA, which applies to human healthcare providers. For your privacy, avoid sending highly sensitive details by email; we can discuss by phone.
Emergency & Crisis Disclaimer
This practice does not provide emergency services through the Site. If your pet is in distress, contact the nearest 24/7 emergency veterinary hospital immediately. For potential toxin exposure, call ASPCA Animal Poison Control at (888) 426‑4435 (fees may apply). For human emergencies, call 911.
